Should every marketplace buyer be a customer record?

Short answer

No. The money relationship is with the marketplace, not with the ten thousand individual buyers, so that is where the account belongs: one account, one balance, one payout stream. Creating a customer record per buyer produces a list nobody can use — thousands of one-order names, no balances worth reading and a slow search. The buyer’s details stay on the order, where fulfilment needs them.

What a customer account is for

An account exists to answer “what do they owe us and what have they bought from us over time”. For a marketplace buyer who ordered once, both answers are trivial and neither is useful.

For the marketplace itself, both are critical: what is the pending payout, how much has come through this channel, how does its commission compare.

What stays on the order

  • Buyer name and shipping address — fulfilment needs them.
  • Order number from the channel — reconciliation needs it.
  • Tax treatment where the destination matters.

None of that requires an account record with a running balance.

The exception

Some jurisdictions and some marketplaces require a buyer-level invoice. That document can be issued from the order without promoting the buyer to an account — the two are separate decisions.

Checklist

  • Is each marketplace a single account with its own balance?
  • Do buyer details stay on the order rather than becoming accounts?
  • Can you still issue a buyer-level document where required?
  • Is channel revenue readable without a per-buyer list?

Frequently asked questions

Should marketplace buyers become customer records?

No. The marketplace is one account with one balance; buyer details belong on the order for fulfilment.

How do I invoice an individual buyer then?

Where the marketplace or local rules require a buyer-level document, it is issued from the order — without turning the buyer into an account with a running balance.

Does this hide customer insight?

No. Product, channel and period analysis still work. What you lose is a per-buyer balance, which for a marketplace is meaningless anyway.
